MEMO

To:             *****************.
From:        ******* Alloush <s1300*****@seu.edu.sa>
Date:        Thursday, December 28, 2014
Subject:    My Recommendation Report Form.

As this week’s assignment request, I will talk about how to formulate a recommendation report which I will send it to the manager of the company's branch in Japan. In this report, I will recommend a bonus in this month’s salary.

In the beginning, I made some research on Japanese culture to know how they talk to each other in business and that's what I found:
·         Addressing someone properly is key. For instance, “Dr. Smith” might feel a little insulted if you refer to him as “Smith”.
·         Attach the suffix “san” to their last name, or “ sama ” if you are trying to be particularly respectful depending on the status and age of the person
·         Japanese workers know that twice a year they will receive a bonus payment, the  bonus has become an integral part of the wage system.
·         The term “bonus” suggests a special reward for good work.

Accordingly, I decided shaping my report as a memo format as follows:
1.      First, heading guide includes "To", "From", " Date",  and " Subject" lines, which will be    " Recommendations for a Bonus in This Month’s Salary".
2.      Secondly, a brief background to discuss how feasibility has already been determined, like this :" In our October10 meeting, we discussed how would our bonus system be. We agreed that the bonus should be twice a year in June and  January. This report outline the amount of each one and recommend a third bonus for this month".
3.      Thirdly, the body of the memo includes these headings: The Amount of the bonuses, Causes of the Third Bonus.
4.      Fourthly, a conclusion discusses benefits of following the recommendations.

Eventually, I think this report will be polite as expected in Japan and direct to the point without being rude. In addition, I used an authoritative tone as requested.
